1. What is Word Processing? (Neno kwa Kiswahili: Usindika wa Nyaraka)

A word processor is a computer program used to type and change text. You can write letters, stories, school work and then save them as files. Think of it like a smart exercise book on the computer. 🖥️📄

2. How does it hold data?

When you type in a word processor the words are first in the computer’s memory (temporary). When you save, the words become a file on the computer or on a USB/online drive. This is called storing or holding data.

3. Files and formats (Aina za Faili)

When you save your document it becomes a file with a name and an ending (extension). Common endings:

  • .docx — used by Microsoft Word
  • .pdf — good for printing and viewing
  • .txt — plain text, no fancy styles

4. Where can files be kept? (Mahali pa kuhifadhi)

  • Computer hard drive (HDD/SSD) — inside the computer.
  • USB flash drive — small thumb drive you carry to school.
  • Cloud storage (e.g., Google Drive) — saves online so you can open it from another computer.

5. Easy steps to save your school work

  1. Open your word processor (e.g., Microsoft Word or Google Docs).
  2. Type your work — for example: your name and a short paragraph about your school.
  3. Click Save or press Ctrl + S (Windows) or ⌘ + S (Mac).
  4. Give a clear name: My_Science_Work.docx (no spaces or use _ ).
  5. Choose a folder like Documents or a USB stick and click Save.
Tip: Save often! If the computer goes off, unsaved work can be lost. Many programs also autosave if you are connected to the internet.

7. How to open a saved file

  1. Double-click the file name in the folder where you saved it (e.g., Documents).
  2. If on USB, plug the USB into the computer, open the USB drive and double-click the file.
  3. If on Google Drive, sign in and click the file to open it.

8. Keeping your work safe

  • Always save before you close the program.
  • Keep a copy on a USB or cloud (backup).
  • Do not share private details (like passwords) in your files.
  • Ask your teacher if you are not sure where to save or how to send the file.

9. Short class activity (Practical)

1) Open a word processor.
2) Type your name and three sentences about your school or favourite science topic.
3) Save as: My_Science_Work.docx in the Documents folder or on your USB.
4) Show the file to your teacher.
