WRITING: Packing and Shipping Lists (Grammar notes)

Topic: Music — English grammar for lists (age 12, Kenya)

These notes explain the English grammar you need when you write packing and shipping lists for music items (instruments, sheet music, equipment). Keep the language simple and clear.

1. Using nouns and plurals

- Use plural nouns for more than one: "Guitars", "Drumsticks".
- Use singular with number 1: "Guitar — 1".
- Some music words are uncountable: "sheet music" (we say "sheets of sheet music" or "pieces of sheet music" if counting).

Examples:
  • Guitars: 2
  • Violin: 1
  • Drumsticks: 4 pairs
  • Sheet music: 3 packs (or 12 sheets)
  • Nyatiti: 1 (traditional instrument)

2. Articles (a, an, the) and zero article

- In short lists, we often use no article (zero article): write "Microphone — 1", not "A microphone — 1".
- In sentences, use "a" or "an" for one: "Pack a guitar." Use "the" when you mean a specific item: "Place the guitar in the case."

3. Quantifiers and units

- Use numbers and units clearly: "2 guitars", "1 keyboard", "3 kg of cables".
- Common list abbreviations: "pcs" (pieces), "qty" (quantity). Example: "Strings — qty: 2".

4. Numbers and date format (Kenya)

- Use digits for counts: "4", "12".
- Use day/month/year for dates: "12/11/2025" (12 November 2025).
- For clarity, write "Shipped on: 12/11/2025".

5. Verbs and passive voice

- Short label style: use nouns or short phrases: "Packed by: John", "Shipped on: 12/11/2025".
- Passive voice is common on labels: "Packed by", "Inspected by". This is fine and normal for shipping lists.

6. Adjectives and warning words

- Add simple adjectives to describe items: "fragile", "heavy", "electronic". Put them before the noun in sentences: "Fragile instruments", or after the item in a list: "Do not stack — fragile".

7. Prepositions for addresses and shipping

- Use "To:" and "From:" on labels.
- Use "Delivered to", "Sent from" if writing full sentences: "Sent from Nairobi", "Delivered to Kisumu".

8. Punctuation and format

- Use colons for headings: "Guitars: 2".
- Use commas in short notes: "Guitar, case, tuner".
- Keep one item per line in packing lists for clarity.

9. Ordering and headings

- Start with a heading like "Packing List" or "Shipping List".
- Group similar items: instruments, accessories, cables.

10. Quick checklist (grammar tips)

  • Use numbers for quantities (no words needed).
  • Use plural nouns when more than one.
  • Use zero article in short list items (no "a" or "the").
  • Use clear headings with colons: "Instruments:", "Accessories:".
  • Write dates as day/month/year in Kenya.
  • Use passive labels: "Packed by", "Shipped on".

Helpful emojis: 🎸 = guitar, 🥁 = drums, 🎤 = microphone — use them only if the list is informal.
