Grade 5 Social Studies People And Population – School Administration Notes
School Administration
People and Population (for Kenyan primary schools)
School administration means the people and groups who help run a school so learners can learn well. It also includes the number of people who go to and work at the school — the school population.
Who runs the school? 👩🏫👨🏫
- Headteacher – leads the school, makes sure lessons happen and rules are followed.
- Deputy – helps the headteacher with work and discipline.
- Teachers – teach subjects, mark work and help you learn.
- Support staff (cleaners, cooks, watchmen) – keep the school clean and safe.
- Board of Management (BOM) / School Management Committee (SMC) – community leaders who plan and look after school money and buildings.
- Parents / PTA – help the school with money, meetings and decisions.
- County Education Office / Ministry of Education – inspect schools and give rules and support.
- Pupils – class prefects and club leaders help with discipline and events.
What is school population? 👥
School population means how many pupils, teachers and staff are at the school. We also talk about class size and pupil–teacher ratio.

Teachers
Support staff
Example: If your school has 120 pupils and 6 teachers, the pupil–teacher ratio is 120 ÷ 6 = 20. This means 1 teacher for every 20 pupils.
Why good administration is important ✅
- Keeps the school safe and clean.
- Ensures there are enough books and classrooms.
- Helps pupils attend school and learn better.
- Organises feeding programmes, health checks and exams.
- Manages school funds for repairs and teachers' pay.
How you can help at school 🌟
- Follow school rules and encourage friends to do the same.
- Join clubs and school clean-up days.
- Class prefects: help your teacher keep order and report problems.
- Put suggestions or problems in the suggestion box (if your school has one).
- Tell your parents to attend PTA meetings.
Quick classroom activities ✏️
- Count everyone in your class and write the number on the board.
- Draw a simple map of your school: classrooms, office, latrines, kitchen.
- Make a list of five people who help run your school and what they do.
